Privacy Collection Notice
Southern Metropolitan Cemeteries Trust ("SMCT", "we", "our", or "us") collects personal information about you in order to:
- provide further information about products and services offered by us which you may have requested;
- respond to your enquiries or feedback or resolve a complaint;
- process your request to register for a user account;
- access services provided by SMCT;
- market and promote SMCT products or services based on interests & preferences provided by you;
- provide event information and updates;
- conduct feedback or research to improve our products and services or your customer experience with us; and
- for other purposes as set out in our Privacy Policy, which is available to view at SMCT Privacy Policy.
SMCT collects and handles personal information in accordance with the Cemeteries & Crematoria Act 2003, the Privacy and Data Protection Act 2014 (Vic) ("PDP Act") and the Health Records Act 2001 (Vic).
Certain visitors to SMCT engage in interactions that necessitate collecting personally identifiable information. The scope and nature of the information collected by SMCT are contingent upon the type of interaction. For instance, visitors subscribing to our email newsletters are required to provide their name and email address. Those seeking an appointment must supply additional personal details, including preferences relevant to the booking. For online purchases or account creation for My Lifebook, further information, such as credit card details or account credentials, is required.
SMCT collects such information solely to the extent necessary to achieve the purpose of the visitor's interaction with SMCT. Disclosure of personally identifiable information is limited to the instances described below. Visitors can withhold personally identifiable information, which may impede SMCT's ability to fulfil the requested service.
We require your personal information to fulfil requests made by you or by individuals authorised (with appropriate documentation) to act on your behalf. To ensure that information is collected and stored securely and in alignment with the history of your initial request or intention, we partner with the following system providers:
- Microsoft Dynamics 365 is an enterprise-wide platform employed by SMCT to collect, manage, and communicate with customers, vendors, partners, and affiliated communities. It serves as the principal platform for data collection at SMCT and adheres to explicit policies and procedures governing the purpose and use of any personal data collected. Occasionally, other approved software may integrate with the data collected by Microsoft Dynamics 365. Nevertheless, no other entity will be granted access to store personal information without prior notice.
- Craft CMS is a web platform used by SMCT to create and manage pages on smct.org.au, which is hosted and has data stored within Australia. Certain features of the smct.org.au website require visitors to provide personal details or login credentials to access specific functionalities. The information collected will be used solely to deliver services related to the respective request.
You may unsubscribe from SMCT communications at any time by clicking the "Manage Preferences" link located in the footer of our emails or by contacting us at privacy@smct.org.au. The privacy information provided on the Microsoft Dynamics 365 website outlines the collection, use, disclosure, and storage of data by Microsoft Dynamics 365. Microsoft, headquartered in the United States of America, operates under U.S. laws. Your information and IP address are stored within Microsoft's Australian Cloud environment. However, data centres are part of Microsoft's globally connected cloud services.
Under the PDP Act, we have a responsibility to protect your personal information. We take reasonable steps to make sure that your personal information is protected from misuse, loss, and unauthorised access, modification, or disclosure. Access to systems, applications, and the information that we collect is limited to authorised employees only.
SMCT will not share, sell, or disclose your personal information except for the purpose it was collected or for a related purpose you might expect. If you do not provide some or all of the requested information, we may be unable to deliver the product or service you seek.
By providing your personal information to us, you consent to the collection, use, storage, disclosure, and management of that personal information as described in this privacy collection notice and in the SMCT Privacy Policy.
